Start with the core workstation

Make individual records for computers, monitors, printers, scanners, cameras, tablets, external drives, and other electronics. Add the brand, model, serial number, purchase date, and a clear photo of each item. For furniture, record the desk, chair, shelving, filing cabinet, and task lighting with photos and brief condition notes.

Capture labels and connection details

Photograph serial-number labels and ports before cables cover them. For a setup with many cords, take one wide photo that shows how the workstation is arranged, then add a short note for important adapters, docks, chargers, and power supplies. These details help separate accessories that look similar.

Keep accessories with the item they support

  • External keyboards, mice, headsets, webcams, and speakers
  • Docking stations, chargers, adapters, and spare power supplies
  • Monitor arms, stands, cable organizers, and desk-mounted lights
  • Printer cartridges, labels, paper trays, and specialty tools
  • Cases, bags, and storage that belong to a device

Record documents without storing sensitive information

Keep copies of receipts, warranty documents, and service records when useful. Avoid adding passwords, account numbers, private work files, or other sensitive data to an inventory. The goal is to identify the item and its supporting purchase or service records, not to duplicate confidential information.

Use locations that match your workspace

Note whether an item is on a desk, in a drawer, on a shelf, or stored elsewhere in the home. For shared offices, add the person or workstation it belongs to. Specific location notes make it simpler to review what is in use, packed away, or moved to another room.
