Craft supplies can accumulate across drawers, bins, shelves, and half-finished projects. A simple inventory helps you see what you already have, keep tools with the right materials, and find supplies without opening every container.

Sort supplies by craft or material

Begin with practical groups that match your hobbies: sewing, knitting, painting, paper crafts, jewelry making, woodworking, model building, photography, or general tools. Keep common consumables in grouped entries, and create separate records for larger equipment or distinctive tools.

Photograph bins, tools, and work areas

Take a photo of each labeled bin, drawer, shelf, or cabinet. Photograph valuable or model-numbered equipment individually, including makers’ labels and accessories. A wide photo of the crafting area gives useful context, while close-ups keep tool details easy to read.

Record the details that make supplies usable

• Material type, color family, and quantity for grouped consumables
• Brand, model, and condition notes for machines and powered tools
• Accessories such as blades, needles, presser feet, batteries, and cases
• Project bins and the supplies reserved for an active project
• Receipts, manuals, and service records for significant equipment

Use specific storage locations

Location notes can be short and useful: “office closet, clear bin 4,” “studio desk, left drawer,” or “garage workbench cabinet.” If a set spans more than one place, note the main location and where the extra pieces are stored.

Update as projects change

Update an entry after a major purchase, donation, finished project, or equipment repair. You do not need to count every small item each time; a quick photo and an updated category note are often enough to keep the inventory current.
